1. Introduction

Kings Professionals College London (KPCL) is committed to delivering high-quality education and supporting students throughout their academic journey. This Course Withdrawal Policy outlines the circumstances under which a student may be withdrawn from their course by the College due to prolonged inactivity, unsatisfactory academic performance, or failure to comply with academic or administrative requirements.

The purpose of this policy is to ensure a fair, transparent, and consistent approach while providing students with every reasonable opportunity to continue and successfully complete their studies.

2. Circumstances for Course Withdrawal

KPCL may withdraw a student from their course under one or more of the following circumstances:

2.1 Unsatisfactory Academic Performance

A student consistently fails to achieve the required academic standards despite receiving appropriate academic support, feedback, and opportunities to improve.

2.2 Prolonged Inactivity

A student demonstrates a sustained lack of engagement with their studies, including but not limited to:

  • Failure to access the online learning portal for an extended period.
  • Failure to submit assignments or assessments.
  • Failure to attend scheduled tutorials, webinars, or online sessions (where applicable).
  • Failure to communicate with tutors or Student Support.
  • Failure to respond to official College communications.

3. Inactivity Procedure

Where prolonged inactivity is identified, KPCL will make reasonable efforts to contact and support the student before any withdrawal decision is made.

The following process will normally apply:

  • A first reminder email will be sent to the student's registered email address.
  • If no response is received, a second reminder will be issued.
  • A final reminder will advise the student that failure to respond may result in withdrawal from the course.

Students are expected to respond promptly and provide an explanation for their absence together with any supporting evidence where appropriate.

Failure to respond to three official reminders may result in withdrawal from the course.

Where applicable, the withdrawal process will be completed in accordance with the policies and procedures of the relevant awarding organisation.

4. Academic Performance Procedure

KPCL is committed to supporting students to achieve academic success.

Where a student fails an assignment:

  • Detailed assessor feedback will be provided to support improvement.
  • Students will normally be offered reassessment opportunities in accordance with the awarding organisation's regulations.
  • If a student fails the same assessment twice, a formal Academic Warning may be issued.

If academic performance continues to fall below the required standard despite support and formal warnings, the College reserves the right to withdraw the student from the course.

5. Student Support

Before withdrawing a student from a course, KPCL will, where appropriate, offer support through:

  • Academic guidance from tutors.
  • Student Support services.
  • Assignment feedback.
  • Study planning assistance.
  • Welfare support where appropriate.

Students are encouraged to contact the College as soon as they experience any personal, financial, or academic difficulties that may affect their progress.

6. Course Withdrawal Decision

Any decision to withdraw a student from a course will be made fairly, consistently, and after considering:

  • Academic progress.
  • Engagement with learning.
  • Communication history.
  • Support already provided.
  • Any mitigating circumstances presented by the student.

Students will be notified of the decision in writing.

7. Fees and Refunds

Students withdrawn from a course due to:

  • prolonged inactivity;
  • failure to engage with their studies;
  • unsatisfactory academic performance; or
  • breach of College policies,

will not be entitled to a refund of tuition fees.

Refunds will only be considered in accordance with the College's Fee and Refund Policy.

8. Re-enrolment

Students who have been withdrawn from a course may apply for re-enrolment at the discretion of KPCL.

Approval will depend upon:

  • The reason for the previous withdrawal.
  • Academic history.
  • Outstanding financial obligations.
  • Availability of the course.
  • Approval by the College.

A £250 re-enrolment administration fee will apply.

Students who are approved for re-enrolment will be subject to the College's current policies, regulations, fees, and academic requirements in force at the time of re-enrolment.

9. Student Responsibilities

Students are responsible for:

  • Regularly accessing the learning portal.
  • Monitoring their registered email account.
  • Meeting assignment submission deadlines.
  • Maintaining communication with tutors and Student Support.
  • Informing the College of any circumstances affecting their studies.
  • Keeping their personal contact details up to date.

Failure to meet these responsibilities may result in course withdrawal.

10. Appeals

Students who believe a course withdrawal decision has been made unfairly may submit a written appeal within 10 working days of receiving notification.

Appeals should include:

  • The reason for the appeal.
  • Any supporting evidence.
  • Any mitigating circumstances not previously considered.

The College will review all appeals fairly and notify the student of its final decision in writing.

11. Policy Review

Kings Professionals College London reserves the right to amend this Course Withdrawal Policy at any time to ensure compliance with UK legislation, awarding organisation requirements, and best educational practice.
