Fee and Refund Policy

1. Introduction
This Fee and Refund Policy ("Policy") outlines the terms and conditions governing tuition fees, payment obligations, course cancellations, refunds, and related financial matters at Kings Professionals College London (KPCL) ("the College").
By enrolling on any course offered by KPCL, you acknowledge that you have read, understood, and agreed to comply with this Policy, together with the College's Terms and Conditions.
2. Course Fees
Course fees are clearly displayed during the application and enrolment process.
Students are responsible for ensuring that all fees are paid in accordance with the payment option selected at enrolment.
Students may choose one of the following payment methods, where available:
Full payment before course commencement.
An approved instalment payment plan.
Failure to maintain payments under an agreed instalment plan may result in suspension of student services until outstanding balances have been cleared.
3. Payment Methods
KPCL accepts payments through approved payment methods including:
Debit Cards
Credit Cards
Bank Transfer
Approved Online Payment Gateways
All payments must be made in Pounds Sterling (GBP).
4. Cooling-Off Period (14-Day Right to Cancel)
In accordance with the Consumer Contracts Regulations, students have the right to cancel their enrolment within 14 calendar days of purchasing their course, provided they have not fully accessed or completed the digital learning materials.
Where a cancellation is made within this 14-day cooling-off period, the student may be eligible for a refund, subject to the administrative fee outlined below.
5. Cancellation and Refund
Students wishing to cancel their enrolment must submit their request in writing by emailing:

The cancellation request should include:
Student Full Name
Student ID (if issued)
Course Name
Date of Enrolment
Reason for Cancellation
Following receipt of the cancellation request, KPCL will provide a Refund Request Form.
Refund requests will only be processed after the completed Refund Request Form has been received and approved.
6. Administration Fee
Where a student cancels during the 14-day cooling-off period, an administration fee of £150 will be deducted from the refund amount.
This fee covers:
Registration processing
Student account creation
Administrative work
Initial academic processing
Payment processing costs
7. Refund Processing
Once the refund request has been approved:
Refunds will normally be processed within 14 working days.
Refunds will be made using the original payment method wherever possible.
If this is not possible, an alternative payment method may be agreed.
8. No Refunds After the Cooling-Off Period
After the expiry of the 14-day cooling-off period, course fees are non-refundable.
No refunds will normally be issued where:
The student changes their mind.
The student no longer wishes to study.
The student has insufficient time.
The student fails to complete assessments.
The student experiences personal or employment commitments.
The student has accessed course materials or the learning portal beyond the cooling-off period.
Exceptional circumstances will be considered solely at the discretion of KPCL.
9. Instalment Payments
Students who choose an instalment payment plan remain liable for the full course fee, regardless of whether they complete the course.
Failure to continue studying does not cancel the financial agreement.
Stopping course participation does not release a student from their payment obligations.
10. Late Payments
Students are responsible for ensuring that instalment payments are made on the agreed dates.
If a student anticipates difficulty making a payment, they must notify the Finance Department before the payment due date by email.
The request should explain:
The reason for the delay.
The expected payment date.
KPCL will consider extension requests on a case-by-case basis.
11. Late Payment Charges
If no communication is received and an instalment remains unpaid for 30 days after its due date:
A £50 late payment administration charge may be applied.
Interest may be charged on overdue balances where permitted by law.
Failure to maintain payments may also result in:
Suspension of learning portal access.
Suspension of assessment marking.
Delay in certification.
Suspension of student support services.
12. Debt Recovery
Where outstanding fees remain unpaid despite reasonable attempts to resolve the matter, KPCL reserves the right to:
Refer the debt to a professional Debt Recovery Agency.
Recover all outstanding tuition fees.
Recover reasonable debt recovery costs where legally permissible.
Any additional costs incurred through debt recovery may become the responsibility of the student.
13. Course Changes
KPCL continually reviews and improves its programmes.
The College reserves the right to:
Amend course content.
Update learning materials.
Change tutors or assessors.
Modify assessment schedules.
Improve programme delivery.
Such changes will not normally constitute grounds for a refund.
Where significant changes occur, KPCL will make reasonable efforts to inform affected students and provide suitable alternatives where appropriate.
14. Termination of Enrolment
KPCL reserves the right to suspend or terminate a student's enrolment where the student:
Breaches College policies.
Provides false or misleading information.
Engages in abusive, threatening or inappropriate behaviour.
Commits academic misconduct.
Fails to meet financial obligations.
Violates the Student Code of Conduct.
Termination under these circumstances will not normally entitle the student to any refund.
15. Exceptional Circumstances
KPCL may, at its sole discretion, consider refund requests outside this Policy in genuinely exceptional circumstances.
Supporting documentary evidence may be required before any request is considered.
Any decision made by the College shall be final.
